The position

We are looking for our new Office Manager for our Lyon Office.
Your role will consist of managing sales administration, general services (office
management, events) and administrative tasks. You will be the interface between our
different departments, especially our Sales team.

What does the job entail?

Regarding sales administration, your role is to provide administrative information and manage customer invoicing (from the invoice to debt recovery). You ensure the information flow with our account executives and account managers and as well as with our customers. On this topic, you work closely with our EMEA Financial controller. You may be involved in supporting our US Financial team (if necessary).

On the financial and accounting side, you are responsible for tracking and recording suppliers (e.g. setting up bank payments).

You oversee administration and management assistance, such as welcoming visitors by phone and in person, handling administrative mail, organizing travel/appointments/team meetings.

You are also responsible for facility management. You are responsible for monitoring the office from a structural and functional point of view (access, subcontracting contracts, various purchases, IT/automobile fleet, etc.). You will work closely with our IT/IMS team on issues relating to office security. You will also organize statutory inspections, and plan and monitor subcontracted maintenance work.
Keeping the office a clean and organized place is also one of your missions.

You are in charge of events organization from the start to the end. You drive the organization and supervision of in-house events, whether one-off or recurring. You act as a driving force behind the implementation of projects and ideas to improve the
working environment.

Finally, you support the HR administrative tasks when necessary. Indeed, our HR officer will
be on maternity leave for a few months and you could be asked to help on some topics.

This position is based in Villeurbanne (19 rue Louis Guérin).

Your profile

You are the ideal candidate for this position if:

  • You have worked in a start-up/ scale up company for 2 years minimum, on
    accounting-finance or sales administration, within a software company
  • You are completely comfortable with digital tools (Slack, Office 365, Salesforce,
    Netsuite, etc.)
  • You are fluent in French and English to work in an international environment.
